SD36 Volunteer Check Process
The Ministry of Education and Childcare has mandated that school districts move forward with new regulations regarding volunteering in school and driving on field trips. All volunteers who are responsible for volunteering with groups of students with the potential for unsupervised access to minors will now be required to complete a Criminal Record Check Form. The form is sent to the district's HR department who will forward the request to the Criminal Records Review Program (CRRP). It does not go to the school. You will receive an e-mail from the CRRP with instructions within 1-2 days from submitting your form. You can find more information in the Parent Info Package below.
As a result, all volunteers who will drive a student in a vehicle will be required to complete the Criminal record check (CRC) and complete the Volunteer Driver Registration Form. Bring your completed form, along with your valid Driver's License and Insurance documents, and a current Driving Abstract from ICBC to the school office. The abstract must be submitted to the office for review by the principal or vice principal. The link to complete the driver's abstract can be found below. The Driver Application Form is available at the school office or through your child's teacher.
Volunteers play a crucial role in fostering a vibrant school community. We sincerely appreciate your understanding of our volunteer application process, dedication to student safety, and the generous donation of your time. Your efforts provide students with invaluable opportunities that may not otherwise be available to them. Thank you for your support.
Volunteer Process:
1. Go to the following link for Criminal Record Checks (CRCs) and complete the form. This is required for ALL Volunteers.
*After completing Step 1 (above) you will receive a secondary email. Please watch your email for a link from "PSSG Security Programs Division" to verify your identity, it may go to your spam folder. This step MUST be done to complete your Criminal Record Check. This is a very important step and MUST be done before you are cleared to volunteer. If you don't receive the link within a couple days of submitting Step 1, please email volunteerchecks@surreyschools.ca and they can send you a new link.
2. If you will be driving as a volunteer, in addition to the Criminal Record Check you must:
- Complete a request for your ICBC Driver’s Record.
- Complete the Volunteer Driver Application Form (please see your child's teacher or the school office for the form) and bring to the office along with
- Vehicle Insurance Documents (Office staff needs to view only)
- Drivers License (Office staff needs to view only)
- A "Cleared" Criminal Record Check obtained through the online form (in step 1 above).
The above documents must be submitted to the office a minimum of three weeks in advance of your child’s field trip or extracurricular activity. The District office needs time to review application forms, ensure criminal record checks are “cleared”, and driver's abstracts are “normal”. Staff also need time to make alternative arrangements if we do not have enough drivers with supporting documents. Please note that without enough cleared volunteers, field trips will be cancelled.
Thank you so much for supporting field trips and keeping our students safe!
