Letter to Families regarding posting education records online

Dear Students and Families,

We recently became aware that some students may be sharing their own educational records online. We would like to use this opportunity to raise awareness about safe online practices and the importance of making informed choices when sharing personal information.

Some websites, apps, and online platforms may make uploaded content publicly accessible. Once information is shared online, it can be copied, saved, and redistributed, and it may remain available permanently, even if the original post is deleted. Sharing personal records can also increase the risk of identity theft and may allow unknown people to identify or contact students.

Before posting a document, photo, or other content, please take a moment to consider:

• What personal information does it contain?

• Who will be able to view, download, or share it?

• Is the content public by default?

• Does it include information about another person?

• Am I comfortable with this information remaining online permanently?

• Could my information be used for identity theft, or to identify or contact me?

• Could my information be used for another purpose, such as AI model training or marketing?

Personal information may include names, contact information, student numbers, grades, school records, photographs, and other identifying details. Taking a moment to pause and check before posting can help students make informed decisions about their personal information.

Students should review privacy settings carefully and speak with a parent, guardian, teacher, or trusted adult if they are unsure about sharing something online. Families are encouraged to discuss these questions at home.

Thank you for supporting safe and responsible online practices. If you have any questions, please reach out to privacy@surreyschools.ca.
