AP 537 - Community Use of District Equipment


Background

The primary purpose use of Surrey School District No. 36 (the “District”) equipment is to support students in curricular and extracurricular studies and activities. District equipment is not generally available for other uses, as school principals are accountable for all equipment coming within their respective jurisdictions.
The determination of whether any school equipment may be made available for rental, and the conditions under which such rental may occur, rests solely with the school principal. Where a principal authorizes the use of school equipment by a facility user, the specific equipment approved for use must be clearly identified on the District rental agreement governing school rentals. In the absence of documented principal approval on the rental agreement, school equipment will not be made available. 

Procedures

1.Where a principal determines that certain equipment in the school is to be made available for usage or rental (for example, volleyball standards, basketballs, VCRs, etc.), the principal shall:
a. 
Ensure that community use of the equipment in question does not hinder the normal operation of the regular school program;
b.In consultation with the District administration, determine:
i. 
The manner in which the equipment is to be picked up, transported, and delivered;
ii.What costs are to be assessed and collected for those transportation services;
iii.How much of an appropriate deposit is to be made on the equipment used; and
iv.What rental fee is to be charged, considering the equipment used, duration of the rental, and other pertinent circumstances of the rental application.
c.Ensure that the District’s Accounts Department is apprised of any assessment required to replace losses or repair damage to equipment rented.
2.While equipment is not “normally” to be rented out or loaned, it is nevertheless recognized that the District and Surrey Parks and Recreation Commission have historically shared in the usage of each other’s recreational equipment for outdoor education and activities. Once items list in section 1 (a) through (c) have been adhered to, other pertinent procedures for the orderly use of District equipment by Surrey Parks and Recreation personnel shall be the obligation of the District administration officer with District physical education responsibilities.
